 Feature Guide - IQ-Mail
Solution

IQuinox can be set up as your corporate mail server. It provides you with a complete mailing solution.

The IQ-Mail specific features include:

Support for multiple domains
If your company has multiple domains registered, IQ-Mail can be configured to use these domains to send and/or receive e-mail, as required.

Support for all popular e-mail protocols
IQ-Mail supports all popular email protocols - SMTP, POP3, IMAP. In addition, now each of theses servers could be SSL enabled. This enables you to have greater security while your users send / receive mails from IQuinox. Advanced settings are available for each of these servers to enable you fine-tune IQuinox performance.

Access Control Lists
Access control lists can be set up to restrict access to services such as SMTP, SMTPS (Secure SMTP), POP3, POP3S (Secure POP3), IMAP, IMAPS (Secure IMAP), LDAP, HTTP and HTTPS (Secure HTTP). This provides a first level firewall for security from hackers and/or crackers.

Mail Upload
IQ-Mail can be configured to send mails using SMTP Relay Server or via Direct Delivery. Facility is also provided to configure Secondary SMTP Relay Server which can be used to send mails if the Primary SMTP Relay is not reachable. Upload rules enforce size restriction to ensure peak hour traffic is not bogged with large size mails. SMTP transfer to SSL enabled SMTP Server is also supported.

Direct Delivery
IQ-Mail now gives you the option of direct delivery of e-mail to a specified domain, instead of sending it through SMTP relay (i.e., via third party SMTP servers, like those of your ISP).

Mail Download Using POP3 accounts
IQ-Mail can be configured to receive e-mail from multiple POP3 accounts. E-mail received is then distributed to the local recipients based on their e-mail addresses or their real names. Each POP3 account could have download size restriction with facility to leave mail on server, delete mail from server or delete mail from server after n days. POP3 download from SSL enabled POP3 Server is also supported.

Simultaneous Send-Receive (multi threaded)
IQ-Mail can be configured to send and receive mails simultaneously (parallel transfer). In addition to this, the maximum number of simultaneous connections to be made by the SMTP client to the SMTP Relay server or the POP3 Client to the POP3 server can also be configured. The maximum number of simultaneous connections to be made by the SMTP client during Direct Delivery is also separately configurable.

E-mail clients
IQ-Mail works with all popular e-mail clients such as Microsoft Outlook Express, Microsoft Outlook, Netscape Communicator, and Eudora.

WebMail
The WebMail module in IQuinox enables users to access their e-mail from anywhere on the network by simply accessing the IQuinoxâ„¢ computer using a normal web browser like Internet Explorer or Netscape Navigator. WebMail enables user to send, receive, and manage e-mails using a web browser.

Scheduling options
Schedules for automatic dial up and e-mail transfer can be set up for different days of the week. Schedules could be repetitive or could be absolute. With absolute scheduling, it is possible to have different e-mail transfer intervals during the day and during the night. Schedule options also allow initiating the e-mail transfer based on number of e-mails which are queued for Remote Delivery. Queue based scheduling can be used in conjunction with Time Based scheduling. In queue based scheduling e-mail transfer can be activated when the number of e-mail in the message spool reaches a specified limit. Limits can be set for each of the spools - High, Normal, and Low.

Mail Transfer options
IQ-Mail allows you to select Mail Transfer mode from Send-Receive / Receive-Send / Parallel. In addition SMTP Transfer can be defined as Perpetual / Scheduled / Manual where as POP3 Transfer can be defined as Scheduled / Manual. In Perpetual mode outgoing mails are sent out as soon as the mails are ready for remote delivery. In Scheduled mode, mails will be sent out / downloaded as per the Mail Transfer schedule. In Manual mode mails will be sent out / downloaded on manually starting Mail Transfer.

User Email Mapping
IQ-Mail offers a completely flexible e-mail service for user mapping. Any user can be mapped to any e-mail provided the domain is registered in IQuinox. Earlier, IQuinox had a restriction that a user should be compulsorily mapped to the primary domain. Effective IQ v6.0.29 this restriction has also been removed.

Forwarding For Incoming Mails
IQ-Mail can be set up to automatically forward e-mail to other local users or remote e-mail accounts whenever a user receives any mail. The user can optionally delete the forwarded mails. Admin can optionally allow the users to maintain their own forwarding options.

Forwarding For Outgoing Mails [New - v6.0.29]
IQ-Mail can be set up to automatically forward e-mail to other local users or remote e-mail accounts whenever a user sends out any mail. Admin can optionally allow the users to maintain their own forwarding options.

Group / User level controls
The users defined in IQuinox can be optionally mapped to a Group. Users belonging to a particular group inherit properties of that group. Users can belong to different groups in each IQuinox module. It is also possible that a user may not belong to any Group. The properties that a user can inherit from the group include: User Can Receive Mail, User Can Send Mails, User's MailBox Quota, Max Mail Size For Send, Max Mail Size For Receive, Time Based Access. In addition, each user can have separator property for Can Use WebMail, Can Use IMAP, Can User Robot Service.

Date / Time bound accounts
IQ-Mail allows you to create temporary accounts. These accounts are valid only for a specified period, thereby ensuring that the e-mail IDs are automatically deactivated after the specified date.

Mobile User
When enabled, all mails (whether local or remote) that are directed to the user will be treated as Remote Mail and will be sent out of the PostMaster system. These mails should logically go to the ISP POP3 Mailbox of the user from where the user can access the same.

Smart Auto-Responder
IQ-Mail allows for smart automatic responses through the auto-responder feature, so that only one copy of the auto response goes to any e-mail address. Further, the subject line of the auto response mail is now configurable for each of the user.

Alias accounts
Alias accounts for a group or department within your organization can be created with automatic forwarding of messages to all members of the group. Alias accounts can also be used to create mailing lists. Mails sent to the alias account is automatically forwarded to all the email address (local or remote) as defined in the forwarding list.

All-Users alias accounts
A special alias accounts for all the users defined in IQuinox. Mails sent to the alias account is automatically forwarded to all the users currently defined in IQuinox.

Sender restricted alias accounts
Alias accounts can now be configured to have restrictions on which senders or type of senders can send mail to the alias account. This ensures that sensitive forwarding list of your alias accounts are not misused.

Utilization Report [New - v6.0.29]
IQuinox has now introduced Hard Disk Space / Quota Utilization Report. This report shows mailbox details (mail count, space used etc) for all the IQ-Mail Users.

Users Cross Reference [New - v6.0.29]
IQuinox has introduced User Level Cross Reference data map for Email Mapping, Incoming Forwarding and Outgoing Forwarding. Cross Reference Data is a very useful tool to trouble shoot issues related to mail-routing.

Welcome Mail [New - v6.0.29]
Now every organization can prepare their own Welcome Mail. For this mail the sender and the subject can also be user-defined. The Welcome Mail will be sent to all new users of IQ-Mail. This mail can optionally be disabled. The standard welcome mail continues to remain but now can be disabled.

Archiving
The Archiving feature can be used to maintain copies of incoming, outgoing and internal e-mail messages. This feature can be enabled for all users or alternatively for select users only. IQuinox also provides for File Based Archiving - where copies of mails are stored as file on disk.

User Defined Path For File Based Archiving [New - v6.0.29]
For "File Based Archiving", if enabled, the default path is a folder within the QLC root folder. Within this folder further folders are created based on day-based, month-based or year-based storage. Now the mails can be archived to User Defined Path / Folder. If folder does not exists it will get created. The folder / path specified could also be on a different machine if the drive is mapped to IQuinox machine. If User Defined Folder is used then archiving of mails in the default folder is no longer done.

Flexi-Archiving
The Archiving feature can be used to maintain copies of incoming, outgoing and internal e-mail messages for selected group/s of users. Multiple such Archive Groups can be configured, now making it possible to have "department based archiving".

RealTime-Black-Lists
IQ-Mail can be configured to connect to RBL servers and check if the IP Address of the connecting clients are listed in the RBL and if so, terminate the connection. Effective IQ v6.0.29 a facility is provided wherein the RBL Servers configured can be queried to check if they are up and running. Additionally, you can check if a specific IP Address is blacklisted.

Sender authentication
IQ-Mail can be configured to authenticate the sender before accepting e-mail for transmission, thereby ensuring that a user can not send mails using the e-mail ID of some other user in your organization

SSL enabled servers / clients
All servers of IQ-Mail (SMTP, POP3 and IMAP) can be run as secure server. If your ISP provide secure SMTP Relay server and secure POP3 server, the SMTP client and POP3 client of IQuinox are SSL enabled and can be used to send / receive messages over secure transmission.

Robot Service
Robot Service enables the administrator and the user to automatically take certain pre-defined actions on all (incoming, outgoing or internal) emails, on the basis of user defined rule-sets (header / content of the mail). Robot Service is available at global as well as user level.

Mail Filters
IQ-Mail Filters enables you to recognize unsafe e-mail senders and block receiving of e-mails from these senders. Blocking is possible for SMTP as well as POP e-mail. Similarly IQ-Mail Filters also enable you to restrict users send mails to specified recipients. In addition to global setting, Mails Filters can also be configured group-wise.

Address Book
IQ-Mail includes an Address Book feature in which you can save frequently used e-mail addresses for easy access. Personal Address Books is available for each user and the users can add or delete their personal contacts in this book. Global address book contains contacts, which are outside your organization/ domain. Only the user "admin" can add, edit or delete contacts in this book. However, these contacts are available (view and use in compose mail) to all WebMail users. Local Address Book lists all the local users / accounts defined in IQuinox.

Sync Address Book [New - v6.0.29]
Typically used in a multi-location IQuinox / PostMaster setup. Sync Address Book component of each IQuinox / PostMaster uploads (to the IQuinox Address Book Server) the address book details (email, contact name and other details) in the Local Address Book and Global Address Book. Now the IQuinox Address Book Server has consolidated Local Address Book and Global Address Book. After the upload is completed, Sync Address Book component on each IQuinox / PostMaster downloads (from the IQuinox Address Book Server) the Corporate Address Book (the consolidated Local Address Book) and the Master Global Address Book (the consolidated Global Address Book). Once the books are downloaded the internal database is updated and the Corporate Address Book and the Master Global Address are available locally.

IQuinox To IQuinox Delivery Notifications
IQuinox To IQuinox Delivery Notification provides a mechanism wherein a Delivery Notification (if enabled) is automatically generated to the original sender at the IQuinox level for a mail which is sent using IQuinox and also received by IQuinox at the other end.

E-Mail To SMS
IQuinox provides a facility whereby any user eligible to send SMS and can prepare an email (using email client or webmail) and send the mail to IQ-Mail. For such mails the To, Cc list should contain the cel-tel-number in a prescribed format. The SMS text is to be typed in the Subject. When IQ-Mail receives such a mail, it will not send such mails to the standard SMTP Relay Server but forwards the mail to a special SMTP-SMS gateway that in turn will forward the mail as an SMS to the specified number. Effective IQ v6.0.29, Send SMS has been introduced as one of the actions in Robot Service.

Gateways
Gateway enables Lotus or Exchange based networks (which basically do not have the capability to download mails from POP3 accounts) to access mail using an ISP based POP3 mail account/s.

Sync User Plug-in
The Sync User Plug-in enables synchronization among Lotus Notes or Exchange user list on the gateway machine and IQuinox user list. When the IQuinox SyncUsers process is invoked the following activity takes place: All services and mail transfer are temporarily stopped, IQuinox SyncUsers component connects to the LDAP Server on the Gateway Machine, request is made for all the email addresses in the LDAP database for the domain specified, the list of email address got from the LDAP Server is compared with the list of users mapped to the Gateway and the user for the IQuinox Gateway is updated accordingly.

Mail Moderation [New - v6.0.30]
Mail Moderation module aims providing a facility for moderating the flow of mails. Mail moderation can be done for both incoming and outgoing mails. The basic idea of Mail Moderation is to block selected mails (that require moderation based on email addresses contained in the mail) at the server level till the designated moderator/s accept or reject the mails.
